How we handle personal information collected through this website. Last updated 3 September 2026.
1. Who we are
Regents LED is the data controller for personal information collected through this website. That means we decide what is collected and what happens to it.

2. What this policy covers
This policy covers the Regents LED website. It does not cover information you give us by other means — a phone call, an email sent directly to a colleague, or a meeting — although we handle that information to the same standard.
3. The information we collect
When you send us an enquiry
Our enquiry forms are the only place on this website where we ask you for anything. Depending on which form you use, we collect:
- Your name — required, so we know who we are replying to.
- Your email address — required, so we can reply.
- Your company — optional.
- Your phone number — optional, and only used if you ask us to call.
- Your message — required, and whatever you choose to put in it.
- The type of request — for example a sample, a quotation, a lighting design or a showroom appointment. This is set by the form you used, not by us.
- A product code — filled in automatically when you start an enquiry from a product page, so we know which fitting you are asking about.
We do not ask for anything else, and there are no hidden fields. We would ask you not to put sensitive information — health, financial details, anything about your private life — into the message box, because it is not the right place for it.
When you simply browse
Our web server keeps standard technical logs of requests made to it, which include IP addresses. These are produced automatically by the server software, are used only to keep the site running and secure, and are not used to build any profile of you or linked to your enquiry. We keep them only as long as they are useful for spotting faults and abuse, and they are overwritten in the ordinary course of running the server.
4. Cookies and tracking
This website does not use cookies. It sets nothing on your device — no cookies, no local storage — and there is no analytics, no advertising pixel and no tag manager anywhere on it.
We are not being coy about this. There is no Google Analytics, no Meta pixel, no LinkedIn tag, no session recording and no third-party chat widget. Our typefaces are served from our own server rather than from Google Fonts, so browsing this site does not tell Google anything about you. The only requests your browser makes away from this site are to our own content system, on our own subdomain, serving our own product photography.
This is why you have not been asked to accept cookies. There is nothing to accept. If that changes we will say so here and ask for your consent first — properly, before anything loads.
5. Why we use your information, and our legal basis
We use what you send us to answer your enquiry — to reply, prepare a quotation, arrange a sample or a visit, and carry out the work if you go ahead. Under UK GDPR we rely on:
- Taking steps at your request before entering into a contract, where your enquiry is about buying from us or having us quote.
- Our legitimate interests in responding to people who contact us and in keeping a record of what was asked and what we answered, for general enquiries.
That is the whole of it. We use what you send us to answer you and to carry out any work that follows — nothing else. We do not add you to a mailing list, we do not send newsletters or promotional email, and we do not pass your details to anyone for their own marketing.
If we ever decide to start sending updates about products or projects, we will ask you to opt in first, and being on that list would be entirely your choice — you would be able to leave it at any time, in one click, and declining would make no difference to the service you get from us. Until then, the only email you will receive from us is a reply to something you sent.
We do not make any automated decisions about you, and we do not profile you.
6. Who can see it
Enquiries are stored in our own content system and are readable only by Regents LED staff with an account on it. Your enquiry is not emailed on to anyone else, and we do not sell, rent or trade personal information — to anybody, ever.
We use a small number of technology suppliers to run the website, and they process data only on our instructions:
- Our hosting provider, an established cloud infrastructure company, which runs the servers this website and our enquiry records sit on. Those servers are in the United Kingdom.
- A cloud storage service, which holds the photographs, drawings and datasheets shown on the site. This service stores our product and project imagery only — no enquiries and no personal information are kept there.
Both are bound to process data only on our instructions and to keep it secure. We are happy to name either of them if you ask.
We may also disclose information where the law requires it, or to establish or defend a legal claim.
7. Where your information is held
Your enquiry is stored on servers in the United Kingdom, and so are the technical logs described above. Personal information you send us through this website is not transferred outside the UK.
The photographs and documents displayed on the site are held on a storage service that may keep copies in more than one country, which is how images load quickly wherever you are. Those files are our own product and project imagery. They contain no personal information about you.
8. How long we keep it
We do not keep enquiries indefinitely.
- Enquiries that do not lead to business are kept for around two years from your last contact with us, so that we have the context if you come back to us, and are then deleted.
- Records connected to an order are kept for six years after the end of our relationship with you, because tax and contract law require us to be able to account for what we sold and to whom.
If you would like your enquiry deleted sooner than that, ask us and we will do it, unless we are required to keep it for one of the reasons above.
9. Keeping it safe
The site is served over an encrypted connection, so what you type into a form is encrypted in transit. Enquiries are held in a database that is not reachable from the public internet, and reading them requires an individual account. No system is perfectly secure, but we take this seriously and would rather hold less of your information than more.
10. Your rights
Under UK data protection law you have the right to:
- Be told what we hold about you and why — that is what this page is for.
- Ask for a copy of the information we hold on you.
- Have it corrected if it is wrong or incomplete.
- Have it deleted, where we have no continuing reason to keep it.
- Ask us to restrict what we do with it while a question about it is resolved.
- Object to our using it where we rely on legitimate interests.
- Receive it in a portable form, in the limited cases where that applies.
To exercise any of these, email info@regentsled.com. We will respond within one month. There is no charge, and you do not need to give a reason for asking.
11. Complaints
If you are unhappy with how we have handled your information, please tell us first — we would rather put it right. You also have the right to complain to the Information Commissioner's Office, the UK regulator, atico.org.uk or on 0303 123 1113.
12. Changes to this policy
If we change how we handle personal information we will update this page and change the date at the top. If the change is significant we will make that clear rather than quietly editing it.
